Publishing Documents to a Limited Audience and Preventing Sharing

Does your enterprise release different PDF documents in the form of eBooks, magazines, and so on? You would not want everyone to be able to access such documents. In short, only those who have purchased the license or subscription services should be entitled to authorized access to such documents.

But, how do you prevent unauthorized access? Well, your users can purchase subscriptions to publications for a set period of time (i.e., for a few months, years or even a lifetime). You just need to set an expiry date for the users who can access the documents that you publish.

And, to ensure the security of the information in such documents, you need to ensure that they are encrypted. But, will encryption alone suffice for ensuring none of your documents are accessed by unauthorized users? For example, what if an authorized user shares his or her license with someone else temporarily?

To ensure your documents remain accessible only by authorized users and to avoid further sharing or copying of your documents, you need to implement encryption techniques in combination with a comprehensive Digital Rights Management (DRM) security solution.

DRM controls enable you to assign flexible access rights for different document users. For example, you may have a need to assign just one-time access to a particular user, while, for others, you may want to assign access based on the time period of their subscription. For example, eBooks purchasers need access to the relevant PDF documents forever.

Yet, with proper encryption in place for all your published documents, even if someone tries to forward them to others, the recipients would only receive encrypted files. And, with appropriate DRM controls in place, you can easily prevent your users from sharing their access license with unauthorized users.

But, consider the following: You implement all possible document security measures, but an authorized user who has ill intentions copies your content through screen grabbing or printing. To avoid this, it is important to establish a DRM system that blocks screen grabbing and restricts printing to a great extent.

You can even completely block printing for your document users. Alternatively, you can disable the use of file drivers so as to stop your users from printing to a file driver and creating a PDF file.

But, there may be cases where printing of documents by certain authorized users is still necessary. For such cases, you can include non-removable, dynamic watermarks in the document that link the identities of the users with their documents, revealing their details, such as their usernames, company names, and email IDs, in the watermark.

So, DRM software coupled with encryption will allow you to control what your document users can do with your information after they get access to your files. We hope that this information enables you to publish documents to a limited audience and prevent sharing or copying of the documents.
